2

Activate Your Subscription

After authorization you will be redirected to the Plugivo portal. Select a plan — start with a 14-Day Free Trial or choose Lifetime Access. The app is fully functional once the plan is activated.

3

Add SmartTime Card to CRM Record Views

Open HubSpot Settings, Connected Apps, SmartTime, then Settings → App cards. Use Manage locations to add SmartTime to the Contact, Company, Deal, and Ticket record views you need, then save. Open a record and find the SmartTime card in the right sidebar.

Set Location on Your Records

SmartTime detects timezones from the City, State, or Country fields. Simply fill in any of these fields on a Contact or Company. SmartTime's webhook listens to these changes in real-time, calculates the timezone, and updates the widget instantly. For Deals and Tickets, SmartTime automatically inherits the timezone from the associated Contact or Company.

Run Historical Timezone Sync (Optional)

If contacts already had City or Country values before installing SmartTime, open HubSpot Settings, Connected Apps, SmartTime, then Settings. Click "Sync Historical Timezones" to backfill timezone data for up to 100 contacts per batch. Repeat until all contacts are synced.

Use Best Time to Call

Open any record with a timezone set. The SmartTime widget displays the contact's local time, your local time, and the best overlapping window when both of you are in business hours. Use the "Schedule Meeting" link to book calls at the optimal time.

Frequently asked questions

Does SmartTime handle Daylight Saving Time?
Yes. SmartTime uses IANA timezone identifiers (e.g. America/New_York, Europe/London) which automatically adjust for Daylight Saving Time based on the current date and location.
What happens if I change a contact's city or country?
SmartTime's webhook listens for changes to City, State, Country, and Zip properties in real time. When you update any of these, the timezone is recalculated and the widget updates automatically — no manual action needed.
Which HubSpot objects are supported?
SmartTime works on Contacts, Companies, Deals, and Tickets. For Deals and Tickets, if no location is set on the record itself, SmartTime automatically checks the associated Contact or Company for location data.
What if my contact has no city or country set?
The widget will display "No location set — Add city or country to see time". Once you add a City, State, or Country value, the timezone will appear immediately.
How does Historical Sync work for existing contacts?
Open HubSpot Settings, Connected Apps, SmartTime, then Settings. Click "Sync Historical Timezones" to scan for contacts that have a City or Country but no timezone. It processes 100 contacts per batch and shows how many remain.
Does SmartTime store my CRM data?
No. SmartTime does not store your contact or company data. All timezone calculations happen in real time. We only write the timezone result back to your HubSpot properties (smarttime_timezone and hs_timezone).
Is there a free trial?
Yes. All plans include a 14-day fully functional free trial. No credit card is required to start.
What does the "Best Time to Call" feature show?
It calculates the overlapping business hours between your timezone and the contact's timezone, then shows the optimal call window for both sides. If there is no overlap (e.g. you are in Australia and the contact is in the US), it suggests the closest alternative.
