Setup guide

1

Install and Authorize via HubSpot OAuth

Click "Install App Free" at the top of this guide. You will be redirected to HubSpot to select your target workspace portal. Review and accept the permission scopes (CRM objects, Properties, Custom Objects, Invoices, and Orders) to authorize Plugivo.

Three steps for SYSPRO integration: connect the local Windows agent, map SQL columns to HubSpot properties with a unique key, then schedule sync and review activity logs.

2

Access the Integration Dashboard in the Plugivo Portal

After HubSpot authorization, you will be redirected to your dedicated Plugivo portal workspace. Here you can view your connected HubSpot portal ID, subscription status, sync quota usage, and quick links to open the SYSPRO Sync Dashboard or view the app guide.

3

Activate Your Subscription Plan (14-Day Free Trial)

Choose a plan that fits your business volume. Get started risk-free with a 14-day free trial on the Starter plan. Your tier determines how many simultaneous Sync Operations you can maintain (2 on Starter, 4 on Growth, 10 on Professional, up to 50 on Enterprise) and your maximum sync frequency.

4

Configure Database Connection Credentials

Navigate to Setup & Gateway Settings. In Step 1, input your SYSPRO SQL Server IP or Hostname, database port (1433 by default), database name, Windows domain (if required), and SYSPRO operator credentials. All credentials are encrypted on-disk using AES-256 encryption keys.

5

Download and Deploy the SYSPRO Background Agent

In Step 2 of the setup wizard, download the pre-configured Windows Agent package (.ZIP). Extract the package to any folder on your Windows Server or SQL host. Right-click install.bat and select "Run as administrator" to register and start the background sync connector.

6

Verify Live SQL Gateway Connectivity

In Step 3, click "Test Connection" to send a live verification ping to your running agent. The agent connects to your local SQL Server, reads the table and column schema metadata, and uploads it to Plugivo. When the badge displays "SQL Gateway Active & Ready", click "Configure Operations".

Frequently asked questions

Do I need a developer to set this up?
No developer is required for the portal configuration, field mapping, or HubSpot property creation — all of this is handled through a point-and-click interface in the Plugivo portal. The only technical step is installing the SYSPRO Agent on your Windows Server, which involves editing a single config file and running a batch file. This takes around 10–15 minutes and can be done by any IT administrator.
What is the SYSPRO Agent and why is it needed?
The SYSPRO Agent is a lightweight Windows background service (installed on your own server) that queries your SYSPRO SQL database and securely sends the data to Plugivo's sync engine. It runs silently in the background and communicates outbound over HTTPS — no inbound firewall ports need to be opened. Your data never leaves your network unencrypted.
What is a Sync Operation?
A Sync Operation is a single configured data pipeline — one SYSPRO table mapped to one HubSpot object. For example: "SYSPRO ArCustomer → HubSpot Companies" is one operation. "SYSPRO InvMaster → HubSpot Products" is a second operation. Your plan determines how many operations you can have active simultaneously (2 on Starter, 4 on Growth, 10 on Professional, 50 on Enterprise).
Can I map to custom HubSpot objects?
Yes. You can map SYSPRO data to any standard HubSpot CRM object (Companies, Contacts, Deals, Products, Tickets, Quotes, Line Items) as well as any custom objects you have created in HubSpot. Custom object mapping is available on Growth plan and above.
Can I create HubSpot properties without leaving the portal?
Yes. When setting up field mapping, if a HubSpot property does not exist for the SYSPRO column you want to map, you can click "+ Create New HubSpot Property" directly from the mapping table. You can set the property name, label, data type (text, number, date), and enable "Require unique values" — all without navigating to HubSpot Settings. The property is created in HubSpot instantly and appears in the dropdown.
How does deduplication work?
Each Sync Operation requires a Primary Key — a field that uniquely identifies a record (e.g. CustomerCode, AccountNumber, Email). When a sync runs, Plugivo searches HubSpot for an existing record that matches the Primary Key value. If a match is found, the record is updated. If no match is found, a new record is created. This prevents duplicates and ensures your CRM stays clean on every sync cycle.
What happens if a Primary Key property is not unique in HubSpot?
If you select a HubSpot property as your Primary Key but it is not marked as "Require unique values" in HubSpot, Plugivo will show you a warning when you toggle it as the Primary Key. You can still proceed, or you can click "Configure in HubSpot" to navigate directly to the HubSpot property settings and enable uniqueness. We recommend always enabling unique values on Primary Key properties to guarantee reliable deduplication.
Does Plugivo store my SYSPRO or HubSpot data?
No. Plugivo does not store your ERP records or CRM data permanently. Data is read from your SYSPRO SQL Server by the Agent, transmitted securely to Plugivo's sync engine, written to HubSpot, and then discarded. We only store sync logs and error messages to help you troubleshoot. Your data remains in your own systems.
